PATRONS MEETING NOTES
September 10, 2003 6:00 pm

ATTENDING: Angie Butler, Faith Perkins, Chrystine Emigh, Sherry Rogers, Linda Eaton, Debbie McNeal, Laura Parlee, Cheryl Curtis, Sharon Oliver, Leah Treadwell

PRESIDENT – The priority of this meeting is to figure out WHAT we are planning on supporting this year!
· Our checkbook balance is approximately $2500. $1000 of that has already been marked for playground. That leaves us with $1500 to start the year with, unless we decide to give more for the playground… Currently we have a CD with $5000 that is also for the playground. (Note from the Secretary, in reviewing last years notes from 5/6/03, since we raised more money than we thought we would, we had discussed possibly putting away $2000 from the profits earned 02-03 school year…That can be decided later)

· PLAYGROUND - What are we going to do about the playground? We have established we would like to have a playground committee, as this is such a large project and many parents are anxious to see something happen. Laura Parlee was the first person to commit to working on the committee. Angie Butler will also help… Anyone else? We need about 5 key people to start. We know there are some people who are very interested. Let’s put out a notice asking for interested people to contact Laura. 667-5263 or laruaparlee@msn.com. For NOW that committee will look into our OPTIONS. Mr. Perkins has told us that anything we put in SHOULD be movable. He seemed positive that we could start right away, however, the question was raised “will our liability insurance cover that?” Laura will look into that. Let’s not get ahead of ourselves yet! It was decided that should we have a thumbs up, the Playground Committee should be a separate entity from PATRONS. We can help by doing the book keeping. We will start them off with $6000 seed money. At that point PATRONS can still reserve the right to help out with fundraising, but we are thinking that will mostly be done by the Playground Committee. Notes for the Playground Committee: Leah Treadwell worked on one in Missouri, she has some great ideas…. Look into grants, and help from businesses such as Home Depot, EBS and Viking Lumber etc.

· As it stands now, that is the end of the playground discussion. Nothing can go further until we find out for sure if we can put non-permanent equipment in!

WHAT IS PATRONS ABOUT??? WHAT DO WE WANT TO SUPPORT?
As a group we discussed our priorities. We need to decide where are we going to spend the money we raise? We should help support the community – with events that are both FUN and could net us some $$. We also agree that our priorities need to be academic and anything that will benefit more than 1 class. At our next meeting we plan to go into this in more depth, possibly setting up a percentage scale, on where our fundraising dollars will go. We may also come up with other ideas, but for now here are the areas we plan to support:

· Academics – especially anything benefiting more than one class
· PATRONS $100 scholarship
· Outside Activities – such as sports, or anything extra curricular
· Honor Roll (end of the year awards) about $100
· End of the year - Teacher Care Packages
· Sponsoring community events such as the Town Meeting, Halloween Party etc.
· Misc items that come up


As a reminder to everyone – Boxtops4education - go the website www.boxtops4education.com and click on the “Booster Club”. By joining the Booster Club, we’ll earn 5 extra boxtops for each person that registers. That doesn’t sound like a lot, but it could add up REALLY FAST!

October Activities – we’ll plan in detail at the next meeting, but lets get the dates down!
· Halloween Party – Halloween is Friday October 31st. There is no school that day. We will have the party THAT evening from 6:30pm to 8:00pm. That should give the kids some time to trick or treat before the party - if they want to… Or some parents may simply chose to forgo the trick or treating and do the party instead. We will need to get plenty of candy and prizes donated. This will be for children Birth through grade 5. We should also put something in the newsletter to the effect: If there are any groups or classes that would like to help with the Halloween Party, by hosting a game or fun activity, start thinking about what you’d like to do! There were good ideas that came up too late last year.

· And for the older kids – an After Halloween / Masquerade Ball. That will be Saturday November 1st from ?? 6:30 to 9:30 ?? We can plan it out more later, but at least get the date to the DJ.

Other notes: Laura will do a Playground Committee info letter to get out to the entire school with the newsletter. We should also get something out to the town through Stu. Chrystine will put together a basic info sheet on PATRONS that we can get out to everyone as well
